An invoice isn’t paid because one person says so.
weBiller splits “paid” into a claim and a confirmation. Your client reports the payment; you confirm you received it. Until you do, the invoice sits in a state you can both see.

The client claims
From the app or from a signed portal link, your client marks the invoice paid and says how — bank transfer, card, cash.
You confirm
The invoice becomes paid when you say the money arrived, and not before.
Or you reject, with a reason
Wrong amount, never arrived, paid against a different invoice. The note goes back to the client, so you don’t have to write the email.

Record what actually landed. The balance stays outstanding and keeps chasing on its own.

Why the extra step is the whole point
The usual argument about an unpaid invoice isn’t about the amount. It’s about state: one person believes it’s settled, the other is still waiting, and nobody checks until it’s awkward. In most tools, marking an invoice paid is a private act by whoever sent it. weBiller makes it a two-party event with a visible middle state, so a disagreement surfaces on day one instead of day forty.
It works even if your client never signs up
Clients who use weBiller confirm from inside the app. Everyone else gets a signed link to a portal page where they can read the invoice, download the PDF, and report a payment without creating an account. And if a client simply pays and says nothing, you record the payment yourself — the same confirmation, one-sided.
What happens after you confirm
The invoice closes, its balance drops out of outstanding, the dunning reminders stop, and the payment shows up in your reports in the invoice’s currency. If you confirmed something in error, a credit note reverses the document in full or in part rather than quietly editing a number your client has already seen.

Does my client need a weBiller account?
No. A signed portal link lets them read the invoice and report a payment without signing up for anything.
Does weBiller move the money?
No. weBiller isn’t a payment processor; it records what happened. Your client pays you the way they already do, and the two of you agree in weBiller that they did.
What if we disagree?
The invoice stays in “marked paid” with your rejection note attached until one of you resolves it. Nothing silently flips to paid.
