Formal notice
FORMAL NOTICE OF OVERDUE PAYMENT To: [client name] From: [your business] Invoice [invoice number] for [amount] fell due on [due date] and is now 0 days overdue. Earlier reminders have gone unanswered. I require payment in full by [deadline]. In addition to the principal I claim the statutory interest and fixed recovery fee due under the late payment rules, currently [interest and fee]. Payment should be made to [IBAN], quoting invoice [invoice number]. If payment is not received by [deadline] I reserve the right to pursue recovery, including referral to a collections agency or legal proceedings, without further notice. Any costs of recovery will be added to the sum claimed. If you believe this notice is mistaken, contact me before the deadline. [your business]
A template, not legal advice. What a formal notice must contain — and how it has to be sent — varies by country, and it is usually the step before court. Take advice before you rely on it.

What a formal notice is for
It converts "please pay" into a dated demand with a consequence, and it creates the record you need if this goes further. In much of Europe it is a step you have to take before you can claim certain costs or start proceedings — under names like mise en demeure or ingebrekestelling. It is also, very often, the letter that gets the invoice paid.
What it has to contain
The invoice and what it was for, the original due date, how overdue it is, a specific deadline, the exact sum claimed including interest and the recovery fee, where to pay, and what you will do if the deadline passes. Vagueness in any of those is what lets it be ignored.
Before you send it
Check the invoice really was delivered and really is unpaid — a demand for something already settled costs you the relationship and the argument. Keep the tone flat: a formal notice is more effective when it reads like process rather than anger. And know what your country requires about how it is sent, because registered post is mandatory in some.
Questions, answered
Is it free?
Yes, and nothing you type is stored.
Is this legal advice?
No. It is a template covering what these letters generally contain. Requirements vary by country and this is the step before court — take advice.
How should I send it?
Some countries require registered post or an equivalent for a notice to have effect. Check yours; email alone is often not enough.
What figure do I claim?
Use the late payment interest calculator, then paste the total into the interest field here.
